Schedule: Monday – Friday

Location: Baton Rouge, LA

Office Hours: 7am – 4:30pm

 

The ideal candidate will have 3 years of experience, preferably in an industrial or utility environment, but not required. The candidate must be capable of independently performing assigned functions which include procurement, client invoicing, scheduling employee safety training, site indoctrination, and support to management. Must have strong attention to detail and analytical skills, excellent verbal and written communication skills, and proficiency with Microsoft Office Suite is preferred. Perform other tasks as requested.

EDUCATION/EXPERIENCE:

  • 3 + years of related experience, preferred
  • Previous experience with industrial contractor, preferred
  • High school diploma or equivalent required; college coursework is a plus

ESSENTIAL DUTIES:

  • Responsible for maintaining Safety Training Matrix and notifying employees of expiration dates.
  • Responsible for coordinating and scheduling all training classes for workforce.
  • Responsible for submitting Badging and Drug screen requirements for all sites.
  • Responsible for maintaining list of all customer site entry requirements.
  • Maintain DISA Drug consortium, including coordinating and scheduling for random, emergency, and new hires.
  • Schedule Monthly DOT drug screens.
  • Run Background checks for new hires and Annuals on all employees through DISA.
  • Assist with Onboarding New Hires.
  • CIP Badging
  • Schedule Annual and New Hire Physicals.
  • Maintain Contractor Qualification Portals (Avetta, ISN, PEC, Brows, Achilles, ISTC) this will include questionnaire’s, man hour reports, OSHA Logs, safety training, & Certificates of Insurance (COI).
  • Prepare new and annual customer safety questionnaires for Contractor Qualification Portals.
  • Submit new and annual COIs for those outside of portals.
  • Process & Create New Hire Folders, including obtaining consent forms, safety training, PPE.
  • Schedule travel arrangements for out-of-town jobs. (As needed)
  • Open, close, balance and update all Jobs in the system. Backup for Project Cost Coordinator (As needed) Prepare and Issue Purchase Orders for all job-related materials.
  • Track delivery of material orders.
  • Prepare quotes for parts only jobs, procure and invoice.
  • Issue purchase orders for rental and safety equipment (Backup for Shop Coordinator as needed) Document Control administration
  • Perform various tasks as needed.

Candidates will be required to pass initial screenings and maintain active status:

  • Drug & Alcohol Test
  • Fit for Duty (Physical)
  • Criminal Background Check
  • LA Driver’s License Status Check
